Check the product before you scale the order. Get the right sample, review it against clear requirements and record what is approved.

Choose the sample that answers your question

A stock sample can show a supplier's usual finish. A material swatch helps compare color or texture. A custom prototype tests a proposed design. These are different tools: a stock sample does not prove the supplier can make your exact specification.

Give the sample an acceptance brief

Define the features to review, such as dimensions, material, fit, function, finish and packaging. Where testing is needed, agree the method and qualified test provider. We coordinate supplier questions and sample arrangements against the scope you approve.

Manage revisions without losing the reference

Label samples and drawings by version. Record each requested change and whether it affects cost, timing or tooling. Photographs help communicate visible issues, but cannot replace measurements or functional testing when those determine acceptance.

From approved sample to production

Keep a clearly identified approved reference and the matching specification. Agree where it is held and how production will be checked against it. A sample approval should not silently waive requirements that were never tested, and mass production still needs an appropriate quality plan.

Questions before you start

Are samples free?

Not necessarily. Product, tooling, development and courier charges vary. We clarify the quoted costs before you approve the request.

Can I approve a sample from photos?

Photos can help with appearance, but they do not establish dimensions, material properties or function. The approval method should match the product risks.

Does an approved sample guarantee the whole order?

No. It is a reference for production. Process controls and inspections are still needed according to the agreed quality plan.
